Lifecycle Management

Meeting rooms don't fail on install day. They fail on a Tuesday morning, five minutes before the board call. We keep your rooms working for years after handoff, and we back up the team that supports them.

What we do

Most organizations have an IT team or an MSP, but nobody whose job is the meeting rooms. Firmware drifts, a codec stops signing in, a microphone gets moved, and nobody notices until a meeting fails.

Lifecycle management gives those rooms an owner. We plan how to keep them working, agree with you how we respond when one doesn't, and give your support team what it needs to handle the everyday issues itself.

What lifecycle management covers

A plan to prevent downtime

Most room failures are predictable. We put a plan in place so they don't reach your users.

  • Scheduled health checks of every room: audio, video, sign-in and control
  • Firmware and software updates, tested before they reach every room
  • Remote monitoring where the platform supports it (Teams Rooms Pro, Logitech Sync, Q-SYS Reflect and similar)
  • A short list of critical spares, so a failed part doesn't mean a dead room for weeks
  • A record of every room's equipment, settings and changes

A clear plan for when something goes wrong

When a room fails, nobody should be guessing who to call. We agree the plan with you up front.

  • Priority levels, from "the boardroom is down before a meeting" to "a label is missing"
  • Who reports the issue, how, and what happens next at each level
  • Response targets agreed per plan, not one-size-fits-all
  • Remote diagnosis first, then on-site help through your local installer when needed
  • A short write-up after every major incident: what failed, why, and what changes so it doesn't happen again

Support for your support team

Your IT team or MSP is the first line. We make sure they can handle the common issues quickly and know when to escalate.

  • Room runbooks: what's in the room, how it connects and how to restart it properly
  • Troubleshooting guides for the issues that come up most
  • Training for your support staff, and short guides for end users
  • A clear escalation path to us for anything beyond the first line

A refresh plan and budget

Equipment ages on a schedule. Your budget should know about it before the room does.

  • An inventory of every room with ages, warranties and end-of-support dates
  • A multi-year refresh plan, so replacements are planned rather than urgent
  • Advice on what to replace, what to repair and what to leave alone

Is your Teams Rooms compute due for replacement?

Windows 10 Teams Rooms reached end of support in October 2025, and not every unit can move to Windows 11. Our free MTR Compute Checker tells you whether to keep, reimage or replace each device, based on Microsoft's own requirements.
